Paralegal & Transaction Coordinator

The Real Estate Transaction Coordinator supports the company's Real Estate Paralegal team and is responsible for performing administrative due diligence and legal processing functions required in the commercial real estate transaction processes for acquisitions, loan financing, and general administrative support as requested by the Paralegals, Director of Acquisitions and other Acquisition team members. This position is ideal for someone that is driven, passionate, detail oriented and interested in growing their career in the commercial real estate industry.

• Responsible for assisting the acquisitions team with 10 to 30 transactions concurrently
• Establish and maintain property files (physical and electronic)
• Coordinate due diligence requests with property owners at the request of internal parties
• Establish and maintain drop boxes and diligence sites
• Provide assistance in preparation of notices to internal and external parties
• Order third party reports
• Track receipt of due diligence and third-party reports
• Organize, print and save due diligence and third-party reports
• Maintain constant communication and follow-up with internal and external parties as to status of due diligence and third-party reports
• Distribute due diligence and third-party reports to internal and external parties
• Handle internal and external requests for corporate entity formation, qualifications to do business, good standings, and lien searches
• Manage and interact regularly with vendors providing registered agent services
• Organize signature pages to closing documents and coordinate execution of all signature pages by company executives and delivery of same to lender and title company
• Preparing Closing Binders
• Tracking title policies and coordinating with title vendors to ensure final title policies are
received and saving final policies in closing files
• Support Acquisition Team as necessary

• 2-3 years of related experience in a fast-paced real estate acquisition environment
• Excellent time management, organization skills, and attention to detail
• Ability to work with employees at all levels within the organization
• Proficient in MS Office (Excel, Word, Outlook, PowerPoint)
• Ability to meet deadlines in a fast-paced environment
• Excellent interpersonal, communication (written & verbal), and listening skills
• Ability to adapt to change within a fast-paced environment
• Self-initiator and keen ability to independently anticipate future project demands
• Courteous, collaborative, diplomatic, confidential and professional are compulsory
